<strong>Position Summary</strong><br><br><p>The Program Data Clerk provides essential operational and administrative support for a high-volume, high-priority client program within Knowledge & Innovation Premium Services. This role is responsible for accurate and timely data entry, systematic file and document management, and a range of administrative tasks that keep a complex, fast-moving program running smoothly. The ideal candidate is organized, dependable, and comfortable working across multiple systems with minimal supervision.</p> <br><strong>Essential Functions</strong><br><br><p>Data Entry & Records Management</p><ul><li>Entering, updating, and maintaining data accurately across program systems, including Smartsheet, iManage, and SharePoint, ensuring records are current and consistent.</li><li>Reviewing data for completeness, flagging discrepancies, and coordinating corrections with team members to preserve data integrity.</li><li>Organizing and categorizing data to support efficient retrieval by attorneys, program staff, and other stakeholders.</li><li>Generating basic reports and data exports as requested to support program operations and reporting needs.</li></ul><p>File & Document Management</p><ul><li>Creating, maintaining, and organizing matter and program file structures in iManage and SharePoint in accordance with established naming conventions and protocols.</li><li>Uploading, indexing, and filing documents accurately to ensure proper version control and accessibility.</li><li>Assisting with document retrieval requests and supporting audits of file organization as needed.</li><li>Identifying and escalating filing issues or structural inconsistencies to the appropriate team lead.</li></ul><p>General Administrative Support</p><ul><li>Providing day-to-day administrative assistance to the Premium Services team in support of client program operations.</li><li>Communicating with internal team members to gather information, confirm data requirements, and coordinate routine tasks.</li><li>Tracking task status and deadlines in Smartsheet or other program management tools as directed.</li><li>Other duties as assigned.</li></ul> <br><strong>Requirements</strong><br><br><ul><li>1+ year of experience in data entry, document management, or administrative support; law firm or legal services experience a plus.</li><li>Proficiency with Microsoft 365, including SharePoint; experience with Smartsheet or iManage preferred.</li><li>Typing speed of at least 50 words per minute with a high degree of accuracy.</li><li>Strong attention to detail with the ability to identify errors, inconsistencies, or missing information in data sets.</li><li>Familiarity with document management best practices and file naming conventions.</li><li>Ability to manage competing priorities and meet deadlines in a high-volume environment.</li><li>Collaborative communication style and comfort working within a close-knit, service-oriented team.</li><li>Familiarity with data privacy standards and backup procedures, especially when handling sensitive or proprietary information.</li><li>Strong organizational skills for managing multiple data sets, spreheets, or entry queues.</li><li>Strong written communication skills, especially when working with internal teams.</li><li>Basic customer service skills, particularly when responding to data requests or updating client records.</li></ul> <br><strong>Benefits </strong><br><br><p>Ogletree Deakins offers a robust suite of benefits for our Staff including: Paid Time Off, Paid Sick Leave, a 401(k) matching program, Profit Sharing, Paid Holidays, Paid Parental Leave, affordable Health and Life Insurance including Dental & Vision coverage, Health Savings Account /Flexible Spending Accounts to help offset the cost of dependent care and/or health care expenses, Tuition Reimbursement and an Employee Assistance Program.</p> <br><strong>Contact Information</strong><br><br><p>If you have questions, please e-mail Megan Becker at megan.becker@ogletree.com with “Data Clerk" in the subject line. <span>Please note, applications submitted via e-mail will not be considered.</span></p> <br><strong>Firm Overview</strong><br><br><p><span>Ogletree Deakins is one of the largest labor and employment law firms representing management in all types of employment-related legal matters.
