If you have spent years living inside HubSpot, you already know what good CRM hygiene looks like. You notice when a property needs updating. You log every interaction because the record matters. When you spot a process that could be smarter, you build the automation. Your emails go out send-ready. Your calls land the same way, clear, confident, and on point.You are always three steps ahead, and have supported sales teams well enough to understand that your performance is measured by theirs.
As a Remote SaaS Sales Assistant, you will be the operational backbone of our APAC sales team, working directly alongside the Sales Operations Manager and CCO. Your job is to keep HubSpot clean, communication sharp, and the team moving fast. We will onboard you properly.
After that, we expect full ownership, no hand-holding, no waiting to be told. We use AI and automation as a standard part of how we work. So do you. This is a team that moves fast, works smart, and holds itself to a high standard.
Key Responsibilities
HUBSPOT
HubSpot is not a tool you log into. It is a system you own. You know where everything lives, what every field means, and exactly what bad data costs a sales team. You build workarounds when the platform falls short. You catch problems before they become someone else's fire.
- Own pipeline hygiene end-to-end, every record, every interaction, every field. Nothing is someone else's problem
- Build and enforce naming conventions, property standards, and data quality rules across the CRM, flag deviations immediately
- Run weekly CRM audits, proactively resolve inconsistencies, duplicates, and gaps, and report on data health to the Sales Operations Manager
- Prepare quotes, proposals, and closed-won handover documents to a consistently high standard of completeness and accuracy
- Create practical workarounds, automations, and AI-assisted processes when HubSpot’s native capabilities have gaps, you find a way, and not wait for one
- Guide the team on CRM best practice, you lead this conversation, you do not just follow it
SALES AND AUTOMATIONS SUPPORT
You understand that your success is measured by how well the people you support perform. You think ahead, not just respond. You treat missed follow-ups, late proposals, and gaps in the pipeline as your problem to solve, because in this role, they are.
- Actively build automations and AI-assisted processes to reduce manual work across all of them
- Prepare meeting briefings, prospect research, and agendas before every call
- Distribute and assign clear action items
- Write, send, and manage all email correspondence on behalf of the sales team, inbound and outbound, to a consistently high standard
- Handle calls professionally, lead follow-ups, confirmations, and coordination with prospects and clients
- Draft and format proposals and sales handover documentation with full accuracy
- Maintain Monday.com boards, shared folders, SOPs, the Sales Hub, and login trackers, and continuously find smarter ways to do it
- Schedule internal and external meetings with organised, colour-coded calendar management across time zones
- Send reminders for key internal deadlines and approvals
- Assist in planning and executing event logistics and sales campaigns as required
- Track version history of all documents and templates
ENGLISH SKILLS
Your emails are send-ready. Your calls are clear, professional, and confident. You adapt your tone to the context: precise for documentation, warm for scheduling, sharp for follow-up.
Skills and Qualifications
- Proven, extensive HubSpot experience you can speak to with specifics, not just familiarity (minimum of 3 years of experience)
- A strong track record of supporting sales executives or revenue teams directly (minimum of 3 years of experience)
- Written and spoken English at a near-native level, send-ready on email, confident and clear on calls
- Exceptional attention to detail and follow-through
- Actively using AI tools and workflow automations as part of your daily work, with at least 12 months of hands-on experience applying them to real tasks
- Fully available during Australian business hours (AEST)
- Experience in SaaS, B2B sales, or construction software is a strong advantage
